Case study
A structured account of a customer's problem, what they did, and the measurable result, used as proof rather than persuasion.
In depth
What it really means
A case study documents one customer’s situation before, during and after working with you, with numbers attached. It is proof rather than argument, which is why it survives buyer scepticism that marketing copy does not.
The format earns its place on evidence. Case studies and customer success stories are the single most influential content format for B2B buyers, cited by around 42% as the format that moves them most, and 69% of B2B marketers rate them their most effective asset. Buyers say the trustworthiness of the source outweighs almost everything else about how they engage with content.
The structure that works
| Section | What goes in it | Why buyers read it |
|---|---|---|
| The company, in one line | Size, industry, what they do | To decide whether this is someone like them |
| The problem, with a cost | What was broken and what it was costing | To recognize their own situation |
| What they tried first | The failed approach, honestly | The most-skipped and most-credible section |
| What changed | Specific actions, in order | To judge whether it is replicable |
| The result | Numbers, timeframe, baseline | To build the internal business case |
| A direct quote | In the customer’s words, named | To confirm a real person exists |
The number rule
A result without a baseline and a timeframe is not a result.
“Increased traffic by 300%” is unusable. “Grew organic sessions from 4,100 to 16,400 a month over eight months” is a number a buyer can compare to their own starting point. The three components are the starting figure, the ending figure and the elapsed time. Missing any one of them and readers assume you are hiding something, usually correctly.
Pros & cons
Pros
- The most influential B2B content format by buyer report, and the least common to do well.
- Used by sales in live deals, so the asset earns beyond organic traffic.
- Answers the objection that nothing else can: has this worked for someone like me.
- Quotable by AI assistants, since it contains specific named facts.
Cons
- Requires customer cooperation, legal review, and often several weeks of waiting.
- Little organic search volume of its own. Case studies get found through internal links and sales.
- Goes stale when the named contact leaves or the customer churns.
- Weak ones actively damage trust, since a vague case study reads as an admission.
The mistake people make
Writing the case study about you. Half of published B2B case studies open with the vendor’s founding story and describe the product for three paragraphs before the customer appears. The buyer is looking for themselves on the page. Open with the customer’s problem, keep your product in the middle as the mechanism, and let the result close it.
Best practices
- Interview the customer rather than writing from account notes. The good lines only come from talking.
- Get one number, minimum, with baseline and timeframe attached.
- Include what they tried before. It is the most credible paragraph in the document.
- Name the person and their role. Anonymous case studies convert poorly.
- Build one per segment you sell into, so every buyer finds a version of themselves.
- Link them from the relevant comparison and pricing pages, since that is where the doubt lives.
FAQs
What is a case study?
A documented account of one customer’s problem, the approach taken, and the measurable outcome, used as evidence rather than persuasion.
How long should a case study be?
600 to 1,200 words. Long enough for the story, short enough that a buyer forwards it internally.
What if the customer will not share numbers?
Use percentages against an unnamed baseline, or a time saved figure. A directional number with an honest caveat beats no number.
Do case studies rank in search?
Rarely on their own. Their value comes from internal links, sales use and the trust they lend the pages around them.
How many do I need?
One per segment or use case you actively sell into. Three well-chosen beats twelve generic.
